Uploading Files in QualityNet
 
Reminders
  • QualityNet requires that you keep your account active.  Contact your QualityNet Security Administrator if your account has been deactivated.
  • If you are uploading an MCMP-PAT package, make sure to run the Totals report first and check if there are issues to be addressed like not meeting the minimum number of records to abstract.

Below are the steps in uploading files to QualityNet.

1. Open a browser and go to www.qualitynet.org and click on the Sign In button at the top.

2. Enter your user name and password in the Sign In screen and click the Sign In button.

3. A pop-up window on Terms and Conditions will appear.  If this is your first time to see this message, carefully read through it and click the Accept button.  This window will appear before your username and password are authenticated. This means that this window will appear even though your username or password is incorrect.

4. On the next page, click the Send / Receive link.

5.  The page will refresh and a Java applet will be loaded.  Once the applet is fully loaded, it will bring you to the next page.

6.  In the Secure File Exchange page, click the the New button button to bring up a pop-up window.

7.  In the New Message window click the To button to bring out another pop-up window.

8.  In the New Message | Select Recipients window select the item 'My Exchange Group(s)', wait for the page to refresh, then click Go.

9.  The page will refresh and display a list of organizations and another Go button.  In the Organization dropdown list, select 'Medicare Demonstrations' and click the Go button next to it.  The page no longer needs to refresh after you select an item in the Organization dropdown list.

Notes
  • Your list of organizations may look different from what is shown in the screen shot above.
  • Make sure to select Medicare Demonstrations or you QIO name and not your clinic name.


10.  The page will then refresh to reveal the list of available and selected contacts.  In the list of available contacts, check the checkbox to the left of the name of the QIO contact person who has been assigned to your practice.  If you are sending the file to multiples persons, put a check on their names as well.  Next, click the Add button to add the person's name to the list of recipients (right pane). Click the Save button to add the selected recipients and to close this window.  Note that the Save button is not available until at least one recipient has been added on the Selected Recipient(s) list.

Notes
  • Your name should not appear in the list.
  • Verify that the names in the Selected Recipient(s) list are your contact persons from your QIO.
  • To remove a recipient from the Selected Recipient(s) list, check that recipient's name and click the 'Remove' button.


11.  After the recipients have been selected their names will appear next to the To button.  In the subject area, it is a good idea to put your clinic name so that your QIO contact person will have an easier time finding your package.  The Message text box is optional but it could be used if there are special instructions for your contact person.  Next, click the Attach File(s) button to bring up the File Open dialog box.

12.  Browse to the folder where the file to be uploaded is located.  Next, select the file and click the Open button to upload it.  You will then see a progrees bar that will go away once the file has been uploaded.

Notes
  • To upload multiple files, press and hold the Ctrl key and click the files that you want to upload.
  • If you want to upload a database containing your abstracted patient data to your QIO, you need to create a package file first.


13.  Once the file is uploaded, you will see this message.  Click OK to refresh the New Message window.

14.  The New Message window will refresh to display the newly uploaded file.  Depending on the size of the file, the refreshing could take up to a minute.  Wait until the page is done processing the file.

15.  Once the file is fully processed it will be displayed in the list and you will have an opportunity to remove it if it is not the correct one.  Click Send to send the message and the attached file.

16.  The page will then refresh and display the list of recipients and attached files.  This is your last chance to make sure that the intended recipients and files are correct.  Click Yes to send the message and the attached file.

WARNING!
Double-check to make sure that the recipients and attached file are correct.  Once the 'Yes' button is clicked, the message and the attachments will be sent without further confirmation.


17.  Once the message and the attached file were sent you will see a message below.  Click OK to close the dialog box and the New Message window.

18.  Once the New Message window is closed, you may optionally check to verify that the message was sent by clicking on the Sent link.  The message that you just sent should appear at the top of the list of sent messages.

19.  After confirming that the message was sent, make sure to sign out of QualityNet.

20.  Notify the contact person of your QIO that the file has been successfully uploaded to their QualityNet account.  This is an important step because QualityNet does not automatically notify the recipients about their new messages.
