Data Status
 
Data Status refers to the condition of the topic regarding the completeness of its data.  The value is either "complete" or "incomplete".  The Data Status of each topic along with the topic confirmation are used to determine if the minimum number of patients to be abstracted has been reached.

Completed Topics
A topic is marked as completed if it meets all of the following criteria:
  • The patient has a confirmed condition in the topic and all of the required elements in the topic were supplied.
  • The patient has a confirmed condition in the topic and all of the required elements in the topic are valid.
  • The patient has a confirmed condition in the topic and all elements in that topic have the same value with similar elements in another topic in which the patient also has a confirmed condition.

A topic is also marked as completed if it meets any of these conditions:
  • The patient is not ranked under the topic.
  • The user opted not to abstract the topic.  This will automatically set the status of all patients on that particular topic to complete.  See the Change Measures topic for more information.
  • The confirmation element of the topic is set to "No" or "Med. Rec. Not Found".  The DM topic is also set to completed if the confirmation element is "No - Med. Reasons."

Incomplete Topics
DM, HF and CAD
The DM, HF or CAD topic is marked as incomplete if any of these conditions is met:
  • The patient has a confirmed condition in the topic and at least one of the required elements in the topic is missing.
  • The patient has a confirmed condition in the topic and at least one of the required elements in the topic is invalid.
  • The patient has a confirmed condition in the topic and at least one of the elements in that topic has a different value, compared to a similar element in another topic in which the patient also has a confirmed condition.  See the topic on Synchronized Elements for more information on the inconsistencies that can cause a topic to be incomplete.

PC-1
The PC-1 topic is marked as incomplete if any of these conditions is met:
  • The patient is ranked in PC-1 and the PC confirmation is not supplied.
  • The patient has a confirmed PC condition and at least one of the visits has a missing value (e.g. under PC-1: BP = blank).

PC-5, PC-6, PC-7 and PC-8
The PC-5, PC-6, PC-7 or PC-8 is marked as incomplete if any of these conditions is met:
  • The patient is ranked in the PC topic and the PC confirmation is not supplied.
  • The patient has a confirmed PC condition and the element under the PC topic is missing. (e.g., under PC-5: Mammogram Performed = blank).

Timing of Update
The data status of topics is updated in the following scenario:
  • after the changes to the patient record are saved
  • after importing data using the Importer utility
  • after changing the measures that can be abstracted in the Change Measures form
Initially, all topics that the patient is ranked are marked as incomplete, and all topics that the patient is not ranked are set to complete.

Relationship
The data status hierarchy diagram is shown below.  Any incomplete at the bottom of the hierarchy will propagate to the top.  That is, if PC-1 to PC-7 are complete but PC-8 is not, the PC Status and the Patient Status will be set to incomplete.  The Data Status of the Demographics, DM, HF and CAD will not be affected with this condition.  Each topic is assigned a data status, and the Patient Status serves as the overall indicator of the data status of all topics.  This is not used by MCMP-PAT when counting completed topics, but can be utilized to monitor the number of completed and incomplete patients.

Indicators
The icon to the left of the topic tab indicates if the topic is complete.  The indicator for a completed topic is a green check, and the indicator for an incomplete topic is a red X.

The data status of topics is used when counting the completed topics, as well as the topics available for analysis.  The Patient Status, Demographics Status and PC Status are not involved in counting completed topics.

The "Has Warnings" is closely related to the data status because it indicates the presence or absence of inconsistencies, but it does not affect the data status of any topics in any way.
